Town Clerk, Town of Holly Hill
Attends and schedules Town Council meetings, workshops and public hearings; prepares agendas, agenda packets, proclamations and resolutions, and minutes of the proceedings; maintains and preserves all permanent Council and other Town records. Provides administrative support to the Town Council and Town Administrator; creates, reproduces, and distributes reports and other documents; types various memos, letters and other documents. Assists with issuing various permits and accepts payment for utilities and miscellaneous town programs and activities.
Greets, assists and directs customers, clients and the general public; communicates with citizens by phone, in person and writing or via e-mail regarding questions pertaining to other town departments and programs. Validates official documents; oversees posting of official notices, ordinances, and advertisements. Supervises the issuance of business licenses; collects fees; compiles various reports; answers inquiries concerning business license requirements. Acts as the custodian of the official Town seal. Sets up, maintains and amends a records retention and destruction system for town hall.
Updates Code of Ordinances as needed; maintains up-to-date lists of Ordinances and Resolutions. Monitors the inventory of various administrative supplies and processes orders as needed. Assists with organizing various special events and festivals. Coordinates monthly newsletter printing and content; updates town website as needed; prepares other public relations materials as assigned. Abides by all policies, procedures, rules, etc. associated with the Town’s Safety Manual.
Knowledge of: General modern office practices and procedures; Cash handling; Standard software applications such as Word, Excel, Outlook and Explorer; Standard office equipment such as a personal computer, fax and copy machines; 10-key calculator; credit card machine; mail meter and paper folder. Department procedures and city operations sufficient to respond to inquiries. Ability to: Operate standard office equipment such as a personal computer, 10-key calculator and credit card machine; Work well with numbers, completing assigned tasks with high level of accuracy
Organize and maintain records and prepare reports;Communicate well and deal tactfully with the public; Communicate effectively, orally and in writing; Carry out daily activities with minimal supervision; Deal with work interruptions and return to project at hand effectively; Establish and maintain effective working relationships with other town staff; · Obtain Town Clerk certification; Provide own transportation for travel to meetings and the occasional training session.
