Executive Assistant, Town of Surfside Beach
Reports to work and leaves work on time as scheduled; adheres to lunch and break schedules as explained in personnel manual; when applicable schedule PTO in advance. Displays respectful, cooperative, and helpful attitudes toward fellow employees and the public. Welcomes on-site visitors and answer telephone calls, determine purpose of visit or call, provide information as applicable and/or forward to appropriate personnel. Informs Director and/or supervisors of meetings and events; schedule appointments; advise of deadlines for reports, budget items, etc.
Maintains payroll records including updates to time and leave system, leave requests; submit to Director for approval. Compiles monthly reports consisting of, but not limited to, Fuel Usage-gasoline and diesel for all departments, work order summary and inventory report for Fleet Maintenance, Solid Waste Authority report for Sanitation, Public Works report for Town Council, and other on-going projects. Requests price quotes, place orders, and complete relevant paperwork. Submit approved purchase orders and check requests to Finance for payment, work with Director on annual budget.
Maintains Sanitation schedules; advise drivers of additions/changes. Calculate/reconcile monthly commercial dumpster billing and submit to GSW&S for billing. Work with sanitation crew chiefs to implement summer and winter roll-out services; correspond with realtors and business owners regarding schedule changes and ordinance issues; maintain cart billing and inventory. Maintains vehicle and equipment inventory listing for all departments, maintain DMV records.
High school diploma, GED or 1-year certificate from college or technical school in related studies and 2-years administrative related work experience or combination thereof. Oral and written communication skills with ability to read and write legibly and understand and carry out verbal and written instructions, explain processes and procedures to the public and staff, and to accurately produce reports and general correspondence.
Mathematic skills with ability to make basic computations in all units of measure using whole numbers, common fractions and decimals. Computer skills including current Microsoft Office, Excel, and department-related software. Posses and maintain a valid South Carolina driver’s license.
